We have 2 systems to easily share data between people: Dropbox and owncloud. They are quite similar, the major difference between the two systems is that we run owncloud ourself. This means that there is no limit on the amount of data you can store on it. With Dropbox, you can share data in such a way that other people (outside the CMM) can change the data. With owncloud, you can give external people write access to a folder but they account sync it like a Dropbox account. For internal people (with an CMM account), you can simply share by typing the name of that person.
owncloud
You can find the owncloud at https://molmod.ugent.be/owncloud/ You must login in with your CMM account (the same one you used to log into the website). There are no storage limits (except for the size of the harddisk). If you want to add large files ( > 25 MB ), use the desktop client. We do NOT backup the files from owncloud but owncloud itself does not delete a files immediately: it stores it for 30 days in the garbage bin. After that, the file is really gone.
After login, you get some default directories and the directory 'shared'. Everything that is shared with you will appear under that directory. In the main directory you can also find a manual for owncloud. To share a file or directory, hoover over the file with your mouse and click on 'Share'. You can share with a link: everybody who knows the links can then access the file. Files can also be shared with certain CMM people. Just type the name of the person in the box. Sharing with a group is also possible, the following groups are present:
- everybody: everybody with a CMM account
- cmm-people: the active CMM'ers, including thesisstudents, etc
- cmm-members: all regular, full time CMM'ers
- zap: all the CMM ZAP
It's also possible to notify those people by mail that something has been shared with them. Just click on the 'notify' checkbox.
Adding External Storage (Dropbox, Google Drive, SSH)
You can add your Dropbox / Google Drive account to owncloud. Click on your username on the top right and select 'Personal'. Under 'External Storage' you can add a Dropbox, ... account. You can also do this for a SSH account. Just select SFTP and add for example your molgate account. In this way, you can easily access your data on any moldyn from your home pc, tablet, smartphone, ...
Desktop clients
The desktop client works exactly like the Dropbox client. It creates a local directory that syncs to the online storage. You can download them at http://owncloud.org/sync-clients/ For the Ubuntu client: the webpage says xUbuntu but it will work fine on Ubuntu too. When the Desktop client requests the server location enter:
https://molmod.ugent.be/owncloud/
Mobile clients
You can access your CMM owncloud account from a iOS or Android device. Unfortunally, they are not free. The app costs $ 1 and can be found at:
- Android: https://play.google.com/store/apps/details?id=com.owncloud.android
- iOS: https://itunes.apple.com/us/app/owncloud/id543672169?mt=8
For the Android app I have compiled a version myself. You can install this yourself if your Android device has been rooted. The file can be found here.
Dropbox
Register yourself on www.dropbox.com with your UGent mail address. Then ask an other member of the CMM to share the CMM directory with you. Dropbox has a desktop client which you can install on your PC: this allows easy access to the CMM directory. You can simple drag and drop files in it.
We retired this share as of 02/2015 because the quota on Dropbox where to strict. Use the owncloud!
